Business Assistant to CEO

We are seeking a smart, ambitious, and highly organized Business Assistant to become the CEO’s right hand. This is not a secretary role — but a launchpad for a future operations or branch director. Your mission is to relieve the CEO from operational routines and help scale the company.

You’ll be directly involved in high-level business, work in a fast-paced founder’s rhythm, and travel globally — including to exhibitions, partner meetings, and investor negotiations. If you’re aiming to grow years ahead in months, this is for you.

Responsibilities:

  • Act as the CEO’s right hand: proactively manage tasks, information flow, and execution.
  • Take detailed meeting notes and prepare protocols; follow up on action points with employees, partners, and clients.
  • Organize and accompany the CEO on business trips around the world (trips are typically planned in advance, but flexibility is required for occasional spontaneous travel).
  • Task and schedule management – track the CEO’s tasks and plans, sending regular reminders
  • Maintain and organize the CEO’s calendar, ensuring he is reminded of important meetings and dates.
  • Organize travel arrangements, from booking tickets to communicating with reception.
  • Joint meeting with the customers, investors or partners.
  • Accompaniment at exhibitions, conferences and other events.
  • Prepare presentations for conferences and meetings.
  • Managing social media or other personal brand promotion activities.
  • Research information, analyze data, and provide concise reports.
  • Find, manage, and control contractors (legal, marketing, design, accounting, etc.)
  • Photography and filming during trips, meetings and events, assisting with social media.
  • Handle other assignments (both business and personal).

Requirements:

  • Are fluent in English (C1 or higher); additional languages (e.g., Spanish) are a plus.
  • Are smart, structured, and able to juggle multiple streams simultaneously.
  • Have a proactive attitude and are not afraid of high responsibility.
  • Are detail-oriented and have an excellent memory.
  • Have a “get-it-done” mindset — can negotiate, organize, and execute without supervision.
  • Are confident with business, legal and financial terminology.
  • Have experience in project management or assistant/operational roles (or a desire to grow fast).
  • Can design presentations, draft documents, and communicate professionally.
  • Are familiar with social media, especially Instagram — bonus if you manage your own.
  • Use ChatGPT or similar tools regularly and effectively.
  • Have international experience (studying/living abroad is a plus).
  • Are mobile and ready for global travel.
